UK care providers
Certificate tracking for care homes — without enterprise pricing
Know whose DBS, safeguarding, and training records are current. See gaps on a compliance matrix, get email reminders before anything lapses, and print a status report when an auditor or tender asks for one.
Free for up to 10 employees and 50 certificates. £4.99/month flat when you outgrow the free plan.
Built for registered managers, not HR departments
Care homes and domiciliary agencies often track certificates in a spreadsheet until someone asks for proof — a CQC visit, a tender, or a spot check from a commissioner. Simple Certificate Tracker gives you the same visibility without per-seat software that only makes sense at 50+ staff.
- Compliance matrix — who has DBS, safeguarding, first aid, and more
- Email reminders before certificates lapse
- Printable audit report included on the free plan
- CSV import to bring your existing spreadsheet across

When a spreadsheet stops being enough
Before a CQC visit
Print a status report and compliance matrix. See expired and expiring items on the dashboard instead of scrolling tabs.
During recruitment
Check whether a new starter's mandatory training is recorded before they work unsupervised.
For tenders & contracts
Demonstrate that you monitor staff compliance — even on a small team without a dedicated compliance officer.

Open live demoCommon questions
- Can I track DBS checks for care home staff?
- Yes. Record DBS checks for each employee with issue dates and review dates. Standard and Enhanced DBS certificates do not have a fixed expiry — many providers set an annual review date or use the DBS Update Service. The tracker treats these like any other dated record.
- What certificates do care homes usually track?
- Common records include DBS checks, safeguarding training, first aid, moving and handling, medication administration, fire safety, food hygiene (where applicable), and right-to-work documentation. You can use starter types or create your own.
- Can I print a report for a CQC inspection or tender?
- Yes — printable status reports are included on the free plan. You get a compliance matrix plus a full certificate list. It is for internal checks, not an official compliance certificate, but it closes the gap for small teams who need something to hand over quickly.
- Is it free for a small care home?
- Yes. The free plan covers up to 10 employees and 50 certificates with CSV import, email reminders, a compliance dashboard, and printable reports. Larger homes can upgrade to Premium (£4.99/month flat) for unlimited staff.
- Do staff upload their own certificates?
- Not yet — managers add records from the dashboard or import a spreadsheet. For very small homes, that is often faster than onboarding every carer to a self-service portal.
